Description
The Central District of The Alliance Canada is seeking candidates for the role of Executive & Office Administrator, who desire to support our mission in a Christ-centred and service orientated way. This role is integral to the ministry of the Central District through providing administrative support to the District Superintendent, organizing meetings and events, and ensuring the day-to-day administrative functions of the office are carried out. This full-time permanent role works in our Burlington office 5-days a week.
JOB SUMMARY
Administrative Assistance
- Provide executive administrative assistance to the District Superintendent including email and calendar management, filing, scheduling appointments and speaking engagements, and making travel arrangements.
- Support to the finance department including the issuance of tax receipts, scanning and filing of invoices, and data entry.
- Oversee the running of the Guest House including managing bookings, cleaning services and maintenance.
- Scheduling of Ministry Lead Team members for speaking engagements in district churches.
- Coordinate and facilitate administrative staff meetings to ensure the coordination of administrative projects and needs for the organization.
Meetings & Events
- Act as lead on the planning, organizing and site logistics of off-site events such as District Retreat (annually) and Regional Meetings (multiple annually) and assist with District Conference (biennially) and New Ventures Pursue Clarity Retreat (annually).
- Organize logistics and/or hospitality for various meetings including: board, all staff, staff prayer, ministry lead team, and operations team meetings.
Office Management
- Act as the first point of contact for visitors and incoming phone calls to the office.
- Responsible for the management of the office phone system, Google Workspace platform, and office equipment leases and renewals.
- Main point of contact with the IT consultant including for server issues, managing quotes, asset purchases, etc.
- Monitor and manage the general office email account and the office calendar.
- Monitor various supply inventories and order necessary office and kitchenette supplies.
- Ensure the tidiness of shared spaces such as the boardroom and kitchenette.
Requirements
QUALIFICATIONS
- A diploma or certificate in business administration or office administration.
- 5+ years in an administrative assistant or office management role.
- Strong computer literacy and typing skills (minimum 50 WPM with high accuracy) are required
- Administratively gifted person who is adaptable, high-capacity and proactive, with the ability to prioritize and execute a variety of competing tasks for multiple people and projects.
- Experience utilizing Google Workspace, Planning Centre Online, Monday.com, and Microsoft and Mac applications.
- Ability to maintain a friendly and professional collaborative demeanor in a fast-paced environment, while maintaining a high degree of confidentiality and discretion.
EMPLOYMENT TERMS
- Full-time (37.5 hours per week) permanent role.
- Works primarily in-office with occasional in-province travel required for district events.
- Starting salary between $55,000 - $60,000, negotiable upon alignment of skills and experience with the needs outlined in the job description.
- Participation in the benefit plan and the defined contribution pension plan
- Generous vacation policy, starting at 3-weeks plus time off between Christmas and New Years
